Privacy Notice – HBC Playbook App (Beta)

This Notice applies to the HBC Playbook App operated by Husch Blackwell Consulting LLC (“we,” “us,” “our”) for League One Volleyball, Inc. for internal, beta-phase evaluation use.

1. Scope

This Privacy Notice explains how we collect, use, and share information in connection with the HBC Playbook mobile application (the “App”). The App is designed to support parents/guardians, youth and adult athletes with informational content and tools related to the collegiate recruiting process.

2. Beta Status and Disclaimers

The App is provided as part of a beta testing program. The App may be modified, updated, or discontinued at any time and may contain errors or bugs. It is provided “as is” and should not be relied upon for critical or emergency needs.

The App is not designed for reporting emergencies, safety concerns, or time-sensitive issues. Please contact your club or appropriate authorities for any urgent matters.

3. Information We Collect

A. Parent/Guardian Account Information.

When a parent/guardian creates an account, we collect:

  • Name (if provided), email address, account credentials, and related account information.

B. Child Account Information.

If a parent/guardian chooses to create a child account, we collect:

  • Child's first name, last name, email address, graduation year, and account credentials.

C. Adult Athlete Account Information.

If a parent/guardian chooses to create an account for an adult athlete, we collect:

  • Athlete's first name, last name, email address, graduation year, and account credentials.

If a parent or legal guardian provides information for an athlete who is 18 years or older, we rely on the parent or guardian's representation that they are authorized to do so.

D. App Content and Activity.

We collect information generated through App use, including:

  • Video/module completion status (e.g., timestamps indicating completion);
  • Schools saved and recruiting conversation tools used in the App;
  • Check-in responses, ratings, goals, and free-text responses (e.g., “blockers”).

E. Device and Technical Information.

We collect technical information such as device identifiers, operating systems, technical logs, and information needed to operate, troubleshoot, and secure the App (e.g., crash logs via Sentry).

F. Feedback and Error Reports.

If you submit feedback, suggestions, or error reports through the App, we may use this information to improve the App. Such feedback may be retained and used by us even after your account is deleted, provided it is not linked to your personal information.

We do not ask for or require sensitive personal information (e.g. health information, disability information, or mental-health details). If such information is entered into free-text fields, we treat it as a general App content and not as health data.

4. Prohibited Content / Confidentiality

Please do not submit confidential business, proprietary, or any other sensitive information (other than as required for App use) through the App. Users must not submit unlawful, offensive, or third-party proprietary information.

The App is not designed or intended to collect health or medical information. Please do not enter diagnoses, medical conditions, medications, or other sensitive information into free-text fields.

Parents should monitor their child's use of the App and ensure that personal information entered in free-text fields does not contain sensitive details.

5. Children's Privacy – Children's Online Privacy Protection Act (COPPA)

Consistent with COPPA, we will never knowingly collect personal information from a child under 13 without prior verifiable parental consent, and parents can revoke consent and request deletion at any time.

The App is designed for use by adult and youth athletes, including children under 13, with parental consent. Children cannot create accounts directly. A parent or guardian must create a child account and provide verifiable parental consent. Parents/guardians may review, delete, or refuse further collection of their child's information at any time by contacting us at hbcprivacy@huschblackwellconsulting.com or using in-App controls.

For adult athlete users, the rights and choices described in this Notice apply directly to the adult athlete user rather than to a parent/guardian.

6. How We Use Information

We use information to:

  • Provide and administer accounts (including parent-child linked accounts);
  • Deliver informational content and App functionality;
  • Enable check-ins, goals, and recruiting tools;
  • Maintain App performance, security, and troubleshooting;
  • Communicate with users about App functionality and updates (including operational emails);
  • Improve and develop the App based on feedback and error reports.

We do not sell personal information and we do not use personal information for targeted advertising.

7. Sharing of Information

A. Sharing with LOVB / Club Personnel and LOVB affiliates

(meaning League One Volleyball, Inc. and its controlled clubs or related entities that are authorized to access the App for program-support purposes). If the App is offered through a LOVB program or affiliated club, certain App information (including check-ins, goals, saved schools, recruiting tool responses, free text responses, and engagement/activity information (collectively, “User Input”) may be made available to authorized LOVB personnel and LOVB affiliates. Access is role-based (e.g., coaches may be limited to players on their team). LOVB personnel and its affiliates may use this information to support program administration and athlete engagement. User Input will not be shared outside of LOVB/League One Volleyball, Inc. and its affiliates without your parent's or guardian's explicit consent, except as required by law.

B. Service Providers.

We use vendors to help operate the App, such as:

  • Analytics and Notifications: Firebase for analytics and push notifications to help us understand App usage and send notifications you choose to receive;
  • Email Communications: Resend for transactional and operational email delivery;
  • Crash Reporting: Sentry to diagnose and fix technical issues;
  • Hosting and Infrastructure: Supabase, Railway, and AWS for database hosting, backend services, and cloud infrastructure.

These providers are permitted to process information only to provide services to us and not for their own advertising purposes.

C. Legal / Safety.

We may disclose information if required by law or to protect rights, safety, and security.

D. Parents/Guardians.

If a parent or guardian invites another parent or guardian to access the athlete's account, we process the additional email address for that purpose.

8. State Privacy Rights

Residents of certain states may have additional rights regarding their personal information, such as the right to access, correct, or delete information. To exercise these rights, please contact us at hbcprivacy@huschblackwellconsulting.com. We do not sell or share personal information for targeted advertising.

9. Parent/Guardian Choices and Controls

  • Notifications: You may manage notification preferences and delete your account within the App settings. For other requests, contact us at hbcprivacy@huschblackwellconsulting.com.
  • Account Deletion: A parent/guardian may delete the parent account in the App. Deleting the parent account will also delete associated child accounts and related App data.
  • Access/Correction: To review or update your information, please contact us at hbcprivacy@huschblackwellconsulting.com.

10. Data Retention

We retain information as long as needed to provide the App and for legitimate operational purposes (e.g., security, troubleshooting), unless a longer period is required by law. If an account is deleted, we delete or de-identify information consistent with our operational needs and legal obligations. If the beta program ends or the App is discontinued, we will delete or de-identify your personal information unless retention is required for legal or development purposes. You will be notified of any material changes to data handling as a result of program termination.

11. Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
